How do I configure my cell phone?

There are two issues with using your phone to retrieve email.

(1) Setting up your phone to communicate with our email servers. Solution: please read your phone setup instructions and review our setup procedure here.

(2) Making sure your desktop computer (or laptop) leaves a copy of emails on the server so your phone can download them.

The second issue is the most common problem with users retrieving email with their phone. The computer at work downloads all the emails from the server as soon as they arrive, when the phone checks the server for emails, there are none. Giving a false perception to the user using the phone to check email. To prevent this, please read below.

This document will help you setup your email program so that it leaves a copy of your messages on the server for a certain period of time. This tutorial assumes that you are configured to retrieve your email using the POP3 protocol.

Here's a quick overview of the process on the most popular e-mail programs:

Outlook Express, Outlook 2000:

  • Go to the Tools menu and choose Accounts
  • Double-click on your email account's name
  • Go to the Advanced tab
  • Check the box at the bottom that says Leave a copy of messages on the server
  • Check the box, "Remove from server after XX days"
  • Select a value from 3 -5 days
  • Check the box, "Remove from the server when deleted from Deleted Items"
  • Click OK
  • Click Close

Outlook 2003

  • Go to the Tools menu, choose E-mail accounts
  • Select View or change existing email accounts
  • Click Next
  • Double-click on the name of your email account
  • Click on the More settings buttion
  • Go to the Advanced tab
  • Check the box at the bottom that says Leave copy of messages on the server
  • Check the box, "Remove from server after XX days"
  • Select a value from 3 -5 days
  • Check the box, "Remove from the server when deleted from Deleted Items"
  • Click OK, Next and Finish

  • Click on the Tools menu, choose Account Settings
  • Go to the Server Settings category on the left side, under your Email account
  • Check the box that says Leave messages on server
  • Check the box, "Remove from server after XX days"
  • Select a value from 3 -5 days
  • Check the box, "Remove from the server when deleted from Deleted Items"
  • Click OK to confirm

  • Click on the Tools menu and choose Options
  • Select the category called Incoming Mail from the left panel
  • Check the box on the right side called Leave mail on server
  • Check the box, "Remove from server after XX days"
  • Select a value from 3 -5 days

  • Click OK to confirm

  • Click on the Tools menu and choose Accounts
  • Double-click on the name of your email account and go to the Options tab
  • Under Server Options, check the box that says Leave a copy of each message on the server
  • Check the box, "Remove from server after XX days"
  • Select a value from 3 -5 days
  • Check the box, "Remove from the server when deleted from Deleted Items"
  • Click OK to confirm

Apple Mail for Mac OS X

  • Click on the Mail menu and choose Preferences
  • Click on the Accounts icon, and select your email account on the left side
  • Go to the tab called Advanced, and change the settings of the checkbox called Remove copy from server after retrieving a message:
    • If that checkbox is unchecked, then all your messages will always stay on the server
    • If that checkbox is checked, then the messages will only stay on the server as long as specified in the drop-down box underneath
    • If that checkbox is checked and the drop-down box is set to Right Away, then your account will behave as a regular POP3 account (the messages will be downloaded to your computer and then removed from the server right away)
  • Click OK to confirm
